As our Collaboration & Office Manager, you are the heartbeat of our team — the one who keeps everything (and everyone) running smoothly. You’ll blend operational excellence with a people-first mindset, making sure our workspace feels inspiring, our processes run efficiently, and our team can focus on what they do best. You will work closely with the BU Finance Director, the BS COO Containerboard and the Containerboard leadership team. If you love bringing structure, creating great vibes at work, and being the go-to person who gets things done — this role is for you.  

Your responsibilities:

  • Be the good soul of the team – foster a positive, supportive, and well- organi s ed environment where everyone feels empowered to do their best work  

  • Optimi s e operations – design and implement processes that make our collaboration smoother, smarter, and more efficient  

  • Support leadership – handle travel arrangements, schedule management, and daily coordination for seven leaders to help them stay focused and productive  

  • Be the organi s ational anchor – support the entire team with day-to-day operational and administrative tasks  

  • Own the workspace – maintain and organize the office to ensure it’s welcoming, professional, and functional  

  • Coordinate collaboration – plan and organi s e on-site and off-site meetings that bring people together and inspire great teamwork  

  • Boost culture – plan and implement memorable company events, support onboarding for new hires, and champion initiatives that enhance employee engagement and satisfaction  

  • Pr oject coordination – provide hands-on support to ensure internal projects and commitments move forward on time  

  • Handle invoice management – track, verify, and process invoices efficiently  

  • Keep things on track – follow up on internal commitments and ensure progress across key team initiatives  

Our requirements:  

  • Strong organi s ational and multitasking skills with a proactive mindset  

  • A genuine passion for people and creating a great team culture  

  • Excellent communication skills in English and Germa n  

  • Solid experience in office management, team coordination, or executive assistance  

  • Proficiency in using MS Office tools  

  • A detail-oriented, can-do attitude and the flexibility to handle the unexpected  

Languages:   

  • Fluent in German and English, both written and spoken   

  • Any additional language is an advantage  

Education:   

  • Bachelor’s Degree from an accredited university or college in general management of advantage   

Experience:  

  • Minimum of 3–5 years of professional work experience, with a solid experience in office management, team coordination, or executive assistance
